Position Description

Coleman Professional Services, a nationally recognized not-for-profit provider of behavioral health and rehabilitation programs, seeks a volunteer or intern Administrative Assistant to support the Executive office in its efforts to foster recovery, build independence, and change destinies for individuals, families, and businesses in our community. 

Responsibilities include:

  • Central filing indexing
  • Maintaining database in Excel
  • Hard copy and electronic filing of corporate documents
  • Scheduling hotels, vehicles, and meeting rooms (both internal and off-site)
  • Assembling packets of information
  • Setting up meeting rooms
  • Ordering food and beverages
  • Communicating with meeting attendees and tracking their attendance
  • Opening and distributing incoming correspondence/mail
  • Preparing correspondence
  • Maintaining office supply inventory
  • Preparing and sending mailings/packages

This position requires availability to work on board meeting days which are the third Monday of each month except when there is a holiday on any given third Monday, the board meeting will be held on the fourth Monday. 

Ideal candidates will have the following knowledge and skills:

  • MS Office Suite (including email, calendar scheduling, and contacts)
  • Able to prioritize tasks and work independently
  • Able to interact effectively with the public and all levels of the organization
  • Able to appropriately manage proprietary and confidential information
